A plain-language guide to what is personal, what is shared with your organization, and how information is used in the IntelliVen Leadership Workspace.

What your team shares

Material saved in an organization workspace is shared work. Members with access to that workspace can see its Mandate, WHAT–WHO–WHY, Enterprise Change Framework, initiatives, relevant initiative tools, and other team entries according to their workspace access. Contributor names are shown or hidden according to that workspace's attribution setting.

What remains personal

Each IVOA conversation belongs to the individual who started it. Other members of the same organization cannot see, open, or continue that conversation. Executive Review entries are also personal: they are not shared with the team, included in coherence readings, or added to IVOA's shared organization context.

How IVOA uses context

IVOA combines your private conversation with the organization's current shared work and relevant Manage to Lead reference material. Shared tool work can therefore inform a private IVOA response. The reverse does not happen automatically: a private conversation becomes shared workspace material only when you deliberately apply or save useful output into a shared tool.

Text, links, screenshots, and documents

Content you type, paste, attach, or ask IVOA to read is processed to answer your request. Public webpage links may be opened and their readable text included for that exchange. Attachments and linked material do not become shared tool content unless you deliberately apply or save the result. Do not provide material you are not authorized to use.

Outside input

Anyone holding an active outside-input link can submit to the specific tool named by that link without receiving access to the rest of the workspace. Their submitted entry and name become visible to workspace members alongside team entries. A workspace member can turn off all active links for that tool.

Access and organization boundaries

Account sign-in and workspace permissions control access. Joining an organization requires its code. Members see only workspaces they have joined or have been allowed to view, and leaders have additional authority over active entries, membership, and workspace settings. Operations Advisor is a separate personal workspace for work outside a shared organization.

AI processing and service operation

When you request an assessment, inference, coherence reading, or IVOA response, the material needed for that request is sent to the AI services used by IntelliVen to generate the result. Operational records may also be kept to provide the service, enforce usage limits, diagnose failures, control abuse, and understand cost. AI output can be incomplete or mistaken and should be reviewed before it is adopted or shared.

Training and learning from your input

Material you send to the AI services that power the workspace is not used to train or improve their models. IntelliVen does not fine-tune models on your conversations or workspace entries. The operational records mentioned above are kept to run and protect the service, not to learn from your content.

Retention and deletion

Saved workspace material and conversations remain available until an authorized person deletes them or the workspace is removed. Some actions are permanent in the active product. Limited copies may remain temporarily in backups or operational records for reliability, security, and legal obligations. Contact IntelliVen if you need help with access or deletion.
